Hobbytech Order Manager — Gmail Privacy Notice

Effective 15 September 2026.

Hobbytech Order Manager is operated by Hobbytech International Pty Ltd to manage order printing and prevent duplicate invoices. This notice covers its dedicated Gmail integration.

Information accessed and purpose

The application requests Gmail read-only access to the dedicated printer-confirmation mailbox. This permission permits mailbox reading; the application's searches are limited to the configured printer sender, Kyocera job-log attachment filename and active print-submission time window. Relevant message identifiers, metadata and XML job-log attachments are processed to establish whether an invoice physically printed. Job logs can contain document names, timestamps, printer identifiers, page counts and results.

The Gmail API integration does not send, change or delete emails. Invoice delivery uses a separate SMTP connection. A successful printer confirmation allows the application to record the result and finalize the associated Shopify order.

Processing, storage and sharing

The application runs on Render. Its database retains print lifecycle and audit records, including printer job identifiers and order associations, to prevent duplicate printing. The integration does not intentionally archive full mailbox messages or XML attachments in that database. Original messages remain in Gmail subject to the mailbox owner's settings.

OAuth credentials are stored in the service's environment configuration. Access to the service and operational records is limited to authorized administrators and service providers supporting its operation. Authorized troubleshooting may involve inspection of relevant messages and job logs.

Google user data is used for printer confirmation and associated operational support. It is not sold or used for advertising. Hobbytech Order Manager's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements: Google API Services User Data Policy.

Retention, deletion and revocation

Hobbytech has not established a fixed retention or automatic deletion schedule for Order Manager records and backups. Operational records may remain until a deletion request is reviewed and actioned. Removing print history requires care because it can undermine duplicate-print prevention. There is currently no fixed backup-deletion timetable promised by Hobbytech.

The mailbox owner can revoke access through Google Account permissions. This stops future authorized retrieval but does not automatically delete existing operational records, backups or Gmail messages, and may pause automatic printing.
